Travel agreement
A travel agreement is reached with the traveller’s acceptance of our offer and having paid the deposit or full invoice. Acceptance can take place either directly through us or via the intermediary service of a booking office.
As soon as you send us the booking form your accommodations will be arranged. When these arrangements have been settled, you will receive word from us and thereupon, the invoice will be sent. A confirmation of your booking together with the invoice will be sent within 48 hours via e-mail.
Travel documents will be sent via e-mail the latest 3 weeks prior to departure of your tour. Should you leave home earlier, please inform us so we can send them to you by then.
How to pay
When booking more than 90 days before departure, payment in terms is possible.
Deposit is 15% or 20% of the total amount + booking fee + contribution Dutch Guarantee Fund.
- 20% for the Bike & Barge tours along the Danube, in Croatia and in Greece
- 20% for the Bike & Hotel tours in Italy and Austria
- 15% for the other bike tours
The deposit needs to be paid within 5 days after you have received your invoice. After receipt of your payment, your booking is definite. If your deposit, or proof of payment, is not received within these 5 days, a reminder will be sent per e-mail. If we still have not received your payment within a few days, then your reservation automatically will be cancelled.
Second payment needs to be done at least 90 days prior to departure.
If you book later than 90 days before the start of the trip, the entire invoice amount must be paid within 5 days after you have received your invoice.
The costs of the trip need to be paid in Euros (€).
All payments must be made by the lead passenger.
By credit/debit card:
payments using Visa or MasterCard are possible (a processing fee of 3% per transaction is added for payments from outside EU).

Travel conditions
Cycletours Holidays conducts its tours according to the Travel Conditions of the General Dutch Association of Touroperators (ANVR). This association publishes the ANVR-travel conditions that includes the rights and duties of both the touroperator and the participant. You will receive these conditions together with your invoice.
Alteration fee
If, after booking a trip, you wish to make changes (or add/remove something), bear in mind that you will be billed a surcharge of € 27,-. These costs apply per change. Changes can generally be made up to 28 days prior to the departure date.
Special diets
If you have food allergies or food intolerance (such as lactose- or gluten- intolerance/-allergy) or if you have special meal requirements (vegetarian; pescetarian; gluten free meals; vegan meals etc.), please indicate this when booking. Diets which need a special preparation or special ingredients can only be offered in limited form. We will do our best to meet your needs, but we also ask for your understanding as due to limited logistic possibilities on a barge we are not able to prepare complete specialized menus and special food requirements cannot always be met in all details.
On certain tours, in case of a gluten free/ lactose free/ vegan meals, there is an additional charge. You find the exact charges on the tour page.
Cancelling your tour
If you need to cancel or abort the tour, that always leaves you with financial consequences. Cycletours strongly recommends that all travelers take out cancellation insurance for their tour with the insurance company of their choice in their home country.
All cancellations must be made in writing and received before 4 PM (our local time). Any cancellations received after 4 PM or on a Dutch National Holiday will take effect the next business day.
The following fees are non-refundable:
- Booking fee of € 25,-
- Contribution SGR (Dutch Guarantee Fund) of € 5,- per person
- Alteration fee(s)

- from date of reservation until 42 days prior to tour date: 15% of travel sum (you lose your deposit)
- from 41 to 29 days prior to tour date: 35% of travel sum
- from 28 to 22 days prior to tour date: 40% of travel sum
- from 21 to 15 days prior to tour date: 50% of travel sum
- from 14 to 6 days prior to tour date: 75% of travel sum
- from 5 days to 1 day prior to tour date: 90% of travel sum
- on tour date or later: 100%
Cancellation fees for the Bike & Barge tours Danube Impressions and Danube Waltz:
- after reservation until 84 days prior to tour date: 20% of travel sum (you lose your deposit)
- from 83 to 42 days prior to tour date: 30% of of travel sum
- from 41 to 28 days prior to tour date: 60% of travel sum
- from 27 to 4 days prior to tour date: 80% of travel sum
- from 3 days prior to tour date: 90% of travel sum
- on tour date or later: 100% of travel sum
Cancellation fees for the Bike & Barge tours in the Provence & Camargue and Italy:
- after reservation until 84 days prior to tour date: 20% of travel sum (you lose your deposit)
- from 83 to 42 days prior to tour date: 40% of travel sum
- from 41 to 28 days prior to tour date: 60% of travel sum
- from 27 days to 1 day prior to tour date: 90% of travel sum
- on tour date or later: 100%
Cancellation fees for the Bike & Barge tours in Scotland and on the barge Feniks:
- after reservation until 90 days prior to tour date: 15% of travel sum (you lose your deposit)
- from 89 to 60 days prior to tour date: 40% of travel sum
- from 59 to 30 days prior to tour date: 60% of travel sum
- from 29 to 7 days prior to tour date: 85% of travel sum
- from 6 days to 1 day prior to tour date: 95% of travel sum
- on tour date or later: 100%
Cancellation fees for the Bike & Barge tours in Croatia and Greece:
- after reservation until 60 days prior to tour date: 20% of travel sum (you lose your deposit)
- from 59 to 31 days prior to tour date: 40% of travel sum
- from 30 to 21 days prior to tour date: 70% of travel sum
- from 20 to 11 days prior to tour date: 80% of travel sum
- from 10 days to 1 day prior to tour date: 90% of travel sum
- on tour date or later: 100%

For the tours in Greece and Spain:
- after reservation until 42 days prior to tour date: 15% of travel sum (you lose your deposit)
- from 41 to 29 days prior to tour date 35% of travel sum
- from 28 to 22 days prior to tour date: 40% of travel sum
- from 21 to 15 days prior to tour date: 50% of travel sum
- from 14 to 6 days prior to tour date: 75% of travel sum
- from 5 days to 1 day prior to tour date: 90% of travel sum
- on tour date or later: 100%
For the tours in Italy:
- after reservation until 30 days prior to tour date: 20% of travel sum (you lose your deposit)
- from 29 to 22 days prior to tour date: 25% of travel sum
- from 21 to 15 days prior to tour date: 50% of travel sum
- from 14 to 8 days prior to tour date: 70% of travel sum
- from 7 to 1 day prior to tour date: 95% of travel sum
- on tour date or later: 100%
For the tours in Austria:
- after reservation until 28 days prior to tour date: 20% of travel sum, however at least € 50,- per person (you lose your deposit)
- from 27 to 14 days prior to tour date: 30% of travel sum
- from 13 to 8 days prior to tour date: 50% of travel sum
- from 7 to 4 days prior to tour date: 70% of travel sum
- from 3 days prior to tour date or later: 90% of travel sum
Cancellation of a guided tour by Cycletours
Cycletours Holidays reserves the right to cancel guided tours up to 21 days prior to the tour date when less than half the capacity on the barge/ in hotel(s) is booked. There might be other circumstances of natural and unavoidable catastrophes to cancel a tour. We will notify you right away per email.
Condition of the tours
The conditions of all tours act on the Dutch jurisdiction. Any liability of the tour operator (the transporter) is limited to the amounts that the concerned insurance company(s) of the tour operator/the transporter is (are) willing to pay, taking into account the maximum coverages. The parties agree that the Dutch law applies to this agreement. Any conflicts arising out of this contract will be brought solely before a competent judge in Amsterdam, the Netherlands.
The daily programs are subject to change without notice, due to changing wind and weather conditions and other unforeseen circumstances.
Please note that the published prices for the bike & barge tours are based on the current fuel price. Should the fuel price increase more than 5% (after May 2023), then we need to ask a supplement. Even for reservations already been made.
Complaints
We do our very best to ensure that you have a good holiday. However, should there be any unexpected problems during the holiday, please discuss this with your tour guide or local agent (in case of self-guided tours) . If necessary, please contact us. By reporting your problems right away, you shall enable us to take action as soon as possible, in order find a solution to the problem. Unfortunately, we cannot deal with complaints submitted after a trip.
