Travel agreement

A travel agreement is reached with the traveller’s acceptance of our offer and having paid the deposit or full invoice. Acceptance can take place either directly through us or via the intermediary service of a booking office.
As soon as you send us the booking form your accommodations will be arranged. When these arrangements have been settled, you will receive word from us and thereupon, the invoice will be sent. A confirmation of your booking together with the invoice will be sent within 48 hours via e-mail.

Travel documents will be sent via e-mail the latest 3 weeks prior to departure of your tour. Should you leave home earlier, please inform us so we can send them to you by then.

How to pay

When booking more than 90 days before departure, payment in terms is possible. Deposit is 15% of the total amount and 100% of the insurance premium, if you choose to take. The deposit needs to be paid within 5 days after you have received your invoice. After receipt of your payment, your booking is definite. If your deposit, or proof of payment, is not received within these 5 days, a reminder will be sent per e-mail. If you still do not pay, then your reservation automatically will be cancelled. 
Second payment needs to be done at least 90 days prior to departure.

If you book later than 90 days before the start of the trip, the entire invoice amount must be paid within 5 days after you have received your invoice.

The costs of the trip need to be paid in Euros (€).

payments using Visa or MasterCard are possible (a processing fee of  3% per transaction is added for payments from outside EU).

Travel conditions

Cycletours Holidays conducts its tours according to the Travel Conditions of the General Dutch Association of Touroperators (ANVR). This association publishes the ANVR-travel conditions that includes the rights and duties of both the touroperator and the participant.

Alteration fee

If, after booking a trip, you wish to make changes, bear in mind that you can be billed a surcharge to cover the costs of changes. This amounts to € 10,- or € 28,- (depending on the change).  Changes can generally be made up to 28 days prior to the departure date.

Special diets

If you have special meal requirements (vegetarian or vegan meals, or if you are on a lactose- or gluten free diet), you need to mention this when booking. On some tours, in case of vegan meals, gluten free or lactose diet, there is an additional charge. On most of these tours this charge is € 50, – per diet per person when you  order the diet when booking and 
€ 100,- per diet per person per week when ordering on spot. You find the exact charges on the tour page.

Cancelling your tour

If you need to cancel or abort the tour, that always leaves you with financial consequences. All cancellations must be made in writing and received before 4 PM (our local time). Any cancellations received after 4 PM or on a Dutch National Holiday will take effect the next business day.
The following fees are non-refundable:
- Premium Package fee (if purchased)
- Cancellation insurance fee
- Credit card transaction fee
- Booking fee of € 20,- 

Below you find the cancellation fees per tour. You can claim these fees should you have purchased a cancellation insurance/ the Premium Package. In that case we will send you a claim form you need to complete and return to us. Under certain conditions these fees will be refunded. These conditions are sent to you when purchasing the insurance.

Cancellation fees for the Bike & Barge tours

Cancellation fees for the Bike & Barge tours in the Netherlands to/from Bruges and to/from Cologne; tour along Mosel & Saar:
– after reservation until 42 days prior to tour date: deposit
– from 41 to 29 days prior to tour date: 35% of tour price
– from 28 to 22 days prior to tour date: 40% of tour price
– from 21 to 15 days prior to tour date: 50% of tour price
– from 14 to 6 days prior to tour date: 75% of tour price
– from 5 days to 1 day prior to tour date: 90% of tour price
– on tour date or later: 100%

Cancellation fees for the Bordeaux Bike & Barge tour:
– after reservation until 85 days prior to tour date: deposit
– from 84 to 42 days prior to tour date: 30% of tour price
– from 42 to 28 days prior to tour date: 60% of tour price
– from 28 days to 1 day prior to tour date: 90% of tour price
– on tour date or later: 100%

Cancellation fees for the Bike & Barge tours Danube Impressions and Danube Waltz:
– after reservation until 84 days prior to tour date: deposit
– from 83 to 42 days prior to tour date: 30% of of tour price
– from 41 to 28 days prior to tour date: 60% of tour price
– from 27 to 4 days prior to tour date: 80% of tour price
– from 3 days prior to tour date or later: 90% of tour price

Cancellation fees for the Bike & Barge tours in the Provence&Camargue, Italy, Scotland and on the barge Feniks:
– after reservation until 90 days prior to tour date: deposit
– from 89 to 60 days prior to tour date: 40% of tour price
– from 59 to 30 days prior to tour date: 60% of tour price
– from 29 to 7 days prior to tour date: 85% of tour price
– from 6 days to 1 day prior to tour date: 95% of tour price
– on tour date or later: 100%

Cancellation fees for the Bike & Barge tours in Croatia and Greece:
– after reservation until 60 days prior to tour date: 20% of tour price
– from 59 to 31 days prior to tour date: 40% of tour price
– from 30 to 21 days prior to tour date: 70% of tour price
– from 20 to 11 days prior to tour date: 80% of tour price
– from 10 days to 1 day prior to tour date: 90% of tour price
– on tour date or later: 100%

Cancellation fees for the Bike & Hotel tours:

For the tours in Greece and Spain:
– after reservation until 42 days prior to tour date: deposit
– from 41 to 29 days prior to tour date 35% of tour price
– from 28 to 22 days prior to tour date: 40% of tour price
– from 21 to 15 days prior to tour date: 50% of tour price
– from 14 to 6 days prior to tour date: 75% of tour price
– from 5 days to 1 day prior to tour date: 90% of tour price
– on tour date or later: 100%

For the tours in Italy:
– after reservation until 30 days prior to tour date: 20% of tour price
– from 29 to 22 days prior to tour date: 25% of tour price
– from 21 to 15 days prior to tour date: 50% of tour price
– from 14 to 8 days prior to tour date: 70% of tour price
– from 7 to 1 day prior to tour date: 95% of tour price
– on tour date or later: 100%

For the tours in Austria:
– after reservation until 28 days prior to tour date: 20% of tour price, however at least  €  50,- per person
– from 27 to 14 days prior to tour date: 30% of tour price
– from 13 to 8 days prior to tour date: 50% of tour price
– from 7 to 4 days prior to tour date: 70% of tour price
– from 3 days prior to tour date or later: 90% of tour price

Cancellation of a guided tour by Cycletours

Cycletours Holidays reserves the right to cancel guided tours up to 21 days prior to the tour date when less than half the capacity on the barge/ in hotel(s) is booked. There might be other circumstances of natural and unavoidable catastrophes to cancel a tour. We will notify you right away per email.

Condition of the tours

The conditions of all tours act on the Dutch jurisdiction. Any liability of the tour operator (the transporter) is limited to the amounts that the concerned insurance company(s) of the tour operator/the transporter is (are) willing to pay, taking into account the maximum coverages. The parties agree that the Dutch law applies to this agreement. Any conflicts arising out of this contract will be brought solely before a competent judge in Amsterdam, the Netherlands.

The daily programs are subject to change without notice.

Please note that the published prices for the bike & barge tours are based on the current fuel price. Should the fuel price increase more than 5% (after October 2020), then we need to ask a supplement. Even for reservations already been made.

Complaints
We do our very best to ensure that you have a good holiday. However, should there be any unexpected problems during the holiday, please discuss this with your tour guide or local agent (in case of self-guided tours) . If necessary, please contact us. By reporting your problems right away, you shall enable us to take action as soon as possible, in order find a solution to the problem. Unfortunately, we cannot deal with complaints submitted after a trip.
